Policy & Terms and Conditions


By paying the required booking deposit, the Client confirms that they have read, understood, and agreed to the following Terms and Conditions.


1. Payments and Booking Confirmation

  • A non-refundable booking deposit of R1000 is required to secure and confirm all photography bookings.
  • Once the Client’s preferred date and time have been discussed and confirmed, an official invoice containing AJMeraki Photography’s banking details will be issued for payment of the booking deposit.

Without receipt of the booking deposit, the requested date and time will be provisionally reserved for a maximum of 48 hours only. Thereafter, the slot may be released and made available for rebooking without prior notice.

  • If the booking deposit is paid after the stated due date, and without confirmation that the session slot is still available, AJMeraki Photography cannot be held responsible if the original date and time are no longer available. In such cases, the Client will be required to book the next available session slot.
  • If the Client, or a third party acting on the Client’s behalf, makes payment of a booking deposit without prior confirmation of date and time, availability, or receipt of an official invoice, AJMeraki Photography cannot guarantee accommodation of the Client’s preferred schedule. The session will be booked according to available slots, or the deposit will be refunded once the funds have reflected in our account.


2. Session Timing and Late Arrival

The Client is responsible for arriving on time for the scheduled photography session.

Any session time missed due to late arrival will be forfeited and will not be extended.

Should the session exceed the allocated package time as a result of the Client’s late arrival, an additional fee of R1000 per hour or part thereof will apply.

If the Client arrives 15 minutes or more late, the session will be cancelled and must be rescheduled. In such cases, a new booking deposit of R1000 will be required to secure the new session date.


3. Rescheduling and Session Exchanges

  • If a booking deposit or the full package amount has been paid and the Client needs to reschedule their session, the following conditions apply:
  • The Client is permitted one (1) reschedule within the same calendar year without being required to pay a new booking deposit.
  • Any additional reschedules beyond the first will require payment of a new booking deposit.
  • A minimum of 24 hours’ notice is required to reschedule a session. Failure to provide the required notice will result in forfeiture of the booking deposit.

Sessions are exchangeable but not refundable.

  • If the Client has paid in full but is unable to attend the scheduled session and cannot complete the same session type on a rescheduled date, the session may be exchanged for another package of equal or lesser value.
  • Should the Client choose to exchange for a package of greater value, the difference in price will be payable.


4. Image Selection and Ownership

  • Images provided to the Client for selection purposes will be unedited and watermarked. These images remain the exclusive property of AJMeraki Photography.
  • Any use, reproduction, distribution, or sharing of unedited or watermarked images is strictly prohibited and constitutes theft.
  • Usage rights are granted only once the Client has selected their images and the final edited images have been delivered.


5. Edited Images and RAW Files

  • RAW/unedited images are not included in any photography package and will not be released under any circumstances.
  • Final edited images will be delivered without watermarks.
  • Additional edited images may be purchased at a rate of R150 per image.
  • AJMeraki Photography maintains a consistent and recognisable editing style. As such, we do not provide alternative edits, re-edits, or stylistic changes beyond our standard post-production process. By booking a session, the Client acknowledges and accepts the photographer’s creative style and artistic discretion.


6. Additional Images, Final Payment, and Image Storage


  • Any additional images purchased must be paid for in full prior to the release of the final edited gallery. This includes payment for the originally stipulated package images as well as any additional images requested.
  • No edited images will be released until the full outstanding balance has been received. This policy is in place to prevent cancellation or reduction of additional image selections after post-production work has been completed.
  • Selection galleries will not be retained once the final edited gallery has been delivered. Clients who wish to purchase additional images at a later stage may request that their unedited selection gallery be retained for a period of three (3) months.
  • After the three-month retention period, unedited selection galleries will be permanently deleted without further notice.
  • Final high-resolution galleries are not stored on local drives indefinitely. Should the Client lose or delete their images and request that the gallery be resent, an administration fee of R250 will apply.
  • AJMeraki Photography cannot guarantee availability of high-resolution images beyond six (6) months from the delivery date. It is the Client’s responsibility to download, back up, and securely store all delivered images. AJMeraki Photography will not be held liable for lost or deleted files.

FAQ

01. When should I book my maternity Session?

Ideally you want to book your session as soon as you reach your second trimester for when you are between 28-34 weeks pregnant. This ensures that you are able to book your preferred date.

The time frame for your session is dependent on how big you would like your bump to be.

We can do sessions after 34 weeks, however you may feel more tired or risk giving birth before your session.

 

02. Do you do house calls?

 

We do not offer house calls for any of our sessions. Our studio is equipped with all the necessary equipment to make sure your session goes smoothly and house calls would affect the quality of work we would be able to provide.

We do, however, offer outdoor (location) family or select maternity sessions.

 

03. Do you provide hair and makeup for all your sessions?

 

Makeup can be added to maternity or newborn sessions using our own makeup artist. If you choose to use your own makeup artist, you will need to arrive with your makeup already applied.

We do not offer hair services, however we do work with a makeup artist this offers hair installation at her own place of work which we can recommend for you.

Makeup cannot be added to family, sitter or cake smash sessions as the makeup takes too long and your baby will become restless/tired and affect the outcome of your session.

 

04. Are you available on weekends?

 

Yes we offer limited Saturday slots.

Sunday bookings require an additional R500 on top of any packages (excluding the Maternity mini session which is midweek only)
